We built Quietflow to protect your focus. We apply the same care to your data — collecting only what's necessary and never selling it.

Overview
This Privacy Policy describes how Quietflow, Inc. ("Quietflow," "we," "us") collects, uses, and protects your personal information when you use our website, desktop application, and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.
What we collect
Account information
When you create an account, we collect your name, email address, and password. If you sign up through a third-party provider (e.g. Google), we receive your name and email from that provider.
Calendar data
To rearrange your schedule, Quietflow reads event titles, times, and participant counts from connected calendars. We do not read event descriptions, attachments, or attendee email addresses. Calendar data is processed in real time and not stored beyond what's needed for scheduling.
Behavioral signals
With your explicit consent, Quietflow may collect anonymized input cadence data (typing rhythm patterns) to model your energy curve. This data is:
Processed locally on your device whenever possible
Aggregated and anonymized before any server-side analysis
Never used to reconstruct what you typed
Wearable data
If you choose to connect a wearable device, we receive heart rate variability (HRV) and motion summaries. This connection is optional and can be revoked at any time from Settings.
Usage data
We collect standard analytics — pages visited, features used, session duration, device type, and browser. This helps us understand how people use the product and where it breaks.
How we use it
We use the information we collect to:
Operate and improve the scheduling engine and energy model
Generate your personalized daily and weekly readouts
Adapt soundscapes to your focus patterns
Send you the monthly newsletter (if subscribed)
Respond to support requests
Detect and prevent abuse of the Service
We do not sell your data. We do not use your personal information for advertising. We do not share behavioral or calendar data with third parties for their own purposes.
Sharing & disclosure
We may share limited information with:
Infrastructure providers — cloud hosting, error tracking, and email delivery services that process data on our behalf under strict contractual protections
Legal obligations — when required by law, court order, or governmental request
Business transfers — in the event of a merger, acquisition, or sale of assets, your data would transfer under the same protections described here
We require all service providers to maintain confidentiality and prohibit them from using your data for any purpose other than providing services to Quietflow.
Storage & security
Your data is encrypted in transit (TLS 1.3) and at rest (AES-256). We host on infrastructure within the United States and the European Union, depending on your account region.
We retain account data for as long as your account is active. If you delete your account, we remove your personal data within 30 days, except where retention is required by law.
Behavioral and calendar data used for energy modeling is automatically purged on a rolling 90-day window. We do not maintain long-term archives of this information.
Your rights
Depending on your jurisdiction, you may have the right to:
Access the personal data we hold about you
Correct inaccurate or incomplete data
Delete your data and close your account
Export your data in a machine-readable format
Restrict or object to certain processing activities
Withdraw consent for optional data collection (e.g. wearable or cadence data) at any time
To exercise any of these rights, email privacy@quietflow.app or use the controls in your account settings. We respond to all requests within 30 days.
Cookies
Quietflow uses a minimal set of cookies:
Essential cookies — required for authentication and session management. Cannot be disabled.
Analytics cookies — help us understand aggregate usage patterns. You can opt out from Settings or your browser.
We do not use advertising cookies, tracking pixels, or third-party cookies for cross-site profiling.
Children's privacy
Quietflow is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
Changes to this policy
We may update this policy from time to time. When we make material changes, we'll notify you by email and update the effective date at the top. Continued use of the Service after a change constitutes acceptance of the revised policy.
